Which car rental software should you choose in Morocco? 10 criteria to compare

There is no single best car rental software for every agency. There is a checklist of ten criteria, from the interface language to a compliant invoice, that lets you compare any vendor during a trial.

You search for "best car rental software in Morocco" and get lists where every vendor ranks itself first. None of them tells you how to decide between two tools that promise the same thing: bookings, contracts, fleet, dashboard.

This guide does not tell you which software to buy. It gives you a checklist of ten criteria you can apply to any vendor, us included, with the exact question to ask and what a good answer has to contain. At the end we run Elaicar through the same checklist, including where it is not the right fit for you.

Is there a best car rental software in Morocco?

Not in absolute terms. A 6-car agency in Agadir renting mostly to tourists in summer does not need what an 80-vehicle operator across two cities needs, one that works with companies and has to issue proper invoices every month.

What does exist is the software that fits your agency today and will still fit it with ten more cars. To find it, pick an approach first, then compare the tools within that approach on criteria you can check. A sales demo shows what the vendor wants you to see. A trial with your own cars and real customers shows the rest.

Notebook, Excel, free or subscription: which approach suits your agency?

Before comparing brands, compare ways of working. There are four, and each has its place.

Four ways to run a rental agency, compared without taking sides

A comparison of models, not of vendors. The real cost depends on each offer: ask for it in writing.

ApproachWhat it costsStrengthsLimitsWho it suits
Notebook or ExcelNothing, or close to itNothing to learn or install, everything stays with youNo overlap warning, one person at a time, contracts and invoices by hand, no record of who changed what1 to 5 cars, one counter
Free software0 MAD on the pageInstant start, a good way to see what software changesCaps on vehicles or users, export sometimes limited, business model to understand, uncertain supportSmall fleets that want to try before paying
Per-vehicle pricingAn amount per car per monthYou pay for exactly your fleet, low cost at the startThe bill rises with every car added, even cars in the garage, hard to budget in high seasonVery small, stable fleets
Fixed tiered subscriptionA monthly amount per fleet bracketPredictable budget, an extra car costs nothing up to the tier's capYou pay the tier even below the cap, tier changes to keep an eye onFleets that grow or swing with the season

No row is "the right one". A notebook is not bad management for three cars, and a subscription makes no sense if you rent twice a month. The time to switch is when an avoidable mistake costs you more than the tool: a double booking in the middle of August, an invoice a corporate client sends back, a disputed scratch with no photo. For the figures, our article on what car rental software costs in Morocco runs the numbers fleet by fleet.

What are the 10 criteria for comparing car rental software?

Each criterion comes down to one question for the vendor and one check you do yourself during the trial. A verbal answer does not count: if you cannot check it during the trial, it does not exist.

1. Is the interface in French and Arabic?

Your counter staff may not read French comfortably, and some customers prefer a document they understand. Check that Arabic is more than a translated menu: the screen should run right to left, dates and amounts should stay readable, and an employee should be able to complete a whole check-out without switching language.

2. Is the price published, in dirhams?

A price shown in MAD on the website is a price you can compare, budget for and hold the vendor to a year from now. "Price on request" is not a deal-breaker for a large fleet across several cities, but for 10 to 50 cars, insist at minimum on the price in writing, what it includes, set-up fees and the rule for increases.

3. Do you pay per vehicle or a flat fee?

Run the numbers on today's fleet, then on your high-season fleet and on the fleet you aim to have in two years. A per-vehicle price that looks cheap at 8 cars can become heavy at 40. A tier that is too large makes you pay for empty slots. Also ask what else is counted: users, branches, contracts, text messages.

4. Are the contract and the invoice compliant?

This is the criterion people look at least during a demo and the one that costs most when it is missing. An invoice must carry your identifiers (ICE, IF, RC, business tax number), a unique number in an unbroken sequence, the date, and the breakdown before tax, VAT and total. Ask for a real invoice produced by the software, not a mock-up, and check that a number can be neither skipped nor reused. The full list of required details is in our guide to rental invoices and VAT.

5. Is the inspection done with photos, at pickup and return?

A disputed scratch with no dated photo is your word against the customer's. The software should let you photograph the car from a phone at pickup and at return, record mileage and fuel, and have the customer sign on the spot. See also an inspection that holds up in a dispute.

6. Does the software block double bookings?

Showing a planning grid is not enough. The test: open two sessions and book the same car on the same dates from two desks at the same moment. A good tool refuses the second booking and keeps a gap between two rentals for cleaning and checks. We explain why in avoiding double bookings.

7. Does it handle several branches with separate permissions?

If you have or plan a second branch, check that every car, booking and payment is tied to a branch, that staff at one branch do not necessarily see the other's cash, and that you, as the owner, see everything from one account.

8. Are GPS and WhatsApp linked to the rentals?

GPS is useful inside rental software when it serves the rental: kilometres driven during the contract, an alert when a car moves while it is not rented. A separate tracker app does not make that link. For WhatsApp, ask what is truly automated, who answers when the automation does not know, and what each conversation costs. The real cost of GPS is covered in a separate article.

9. Do you own your data, and is it protected?

Ask for a full export of your customers, bookings, contracts and payments, in an open format, at no charge. Do it during the trial, not on the day you leave. You also handle national ID cards, driving licences and passports: Law 09-08 governs this personal data and the CNDP oversees how it is applied. Your agency remains responsible for it, whatever tool you use. Ask the vendor where the data is hosted, who can access it and how it is deleted if you cancel.

10. Who answers, in which language, and can you try it without a card?

On a Saturday in July you will not have time to write a ticket in a language you do not use. During the trial, ask support a real question and note how long the answer takes and how good it is. Prefer a trial that does not ask for a bank card: you are testing the tool, not your memory for cancelling on time.

How does Elaicar answer these 10 criteria?

We make Elaicar. Here is the same checklist applied to our own tool, without smoothing the edges.

  1. Language. Interface in French, English and Arabic.
  2. Published price. Yes, in dirhams, on the pricing page.
  3. Pricing model. Flat tiers, not per vehicle. Starter: 99 MAD a month (20 vehicles, 1 branch, 5 users). Business: 199 MAD (50 vehicles, 2 branches, 10 users). Professional: 399 MAD (150 vehicles, 5 branches, 20 users). Enterprise: 899 MAD, unlimited.
  4. Documents. Quotes, contracts, gapless numbered invoices with the before-tax, VAT and total breakdown and the ICE, IF, RC, TP line. Remote e-signature with a one-time code, and amendments when a contract changes mid-rental.
  5. Inspection. Pickup and return with photos, mileage, fuel and signature, then a return document.
  6. Double bookings. Availability is checked when the booking is saved, with a two-hour gap between two rentals.
  7. Multiple branches. Depending on the tier (1, 2, 5 branches or unlimited), with every car and booking tied to its branch.
  8. GPS and WhatsApp. GPS tracking as an add-on at 69 MAD a month, with alerts: a car moving outside a rental, a mileage allowance exceeded. An AI WhatsApp assistant as an add-on, billed on usage. A booking website as an add-on at 49 MAD a month.
  9. Customer data. AI reading of the ID card, passport or licence to prefill the customer record, and the reading itself does not keep the image. A customer blacklist, and a reputation score aggregated across agencies: an average, never the other agencies' names or comments. For export, put us through the same test as everyone else during the trial.
  10. Trial. 14 days, no bank card.

One thing to know before choosing: Elaicar records payments, deposits and receipts, but collects nothing online. The deposit and the rental are paid at the agency.

When is Elaicar not the right choice?

  • You want to take card payments online, a down payment or the full rental, at the moment a customer books on your website. Elaicar does not do that: payment happens at the agency.
  • You have 1 to 3 cars and a notebook is enough. If you never double-book and your customers never ask for an invoice, keep the notebook. Come back the day it starts costing you.
  • You want a licence installed on your own server. Elaicar is an online subscription.

Saying where a tool does not fit is part of the checklist. Be wary of a vendor who says yes to everything.

How do you test rental software during a 14-day trial?

Do not migrate the whole agency on day one. On the first evening, load five cars and your next three bookings. Do a real pickup, with photos and a signature, then a real return. Try a double booking on purpose. Issue an invoice and show it to your accountant. Write to support. Before the trial ends, export your data.

Run the same routine with every vendor you are comparing. After two weeks you will not need a ranking: you will have your answer. If you do switch, our guide to migrating without losing your data will spare you the traps of the changeover.
