Built around how rental agencies actually work

Most rental software assumes the customer books online weeks ahead and pays by card. Plenty of agencies live in a different reality: the customer calls or messages, the deposit is often settled in cash, identity is checked from an ID card, and the contract is printed and signed at the counter. Elaicar is built around that sequence — documents come out as print-ready PDFs, and every step of the rental exists in the system the way you actually run it.

One rental file, from quote to return

Every rental follows a single cycle. You create the reservation by picking the vehicle and the dates; the software checks availability, counts the rental days, applies the daily rate, deposit, insurance and extras, then produces the contract. At handover you record the condition — odometer, fuel level, photos, driver signature. On return, the same screen calculates any extra charges and closes the file. Nothing is typed twice.

No more double bookings

The software rejects any reservation that overlaps an existing rental on the same vehicle, and enforces a two-hour turnaround between rentals for cleaning and checks. Availability is verified when the booking is saved, not afterwards — which is what prevents the awkward call to the customer the night before pickup.

Paperwork generated for you

Rental agreement, invoice, deposit receipt: Elaicar produces them as PDFs from the rental file, carrying your agency's name and logo. You print, sign and file — and the copy stays attached to the rental, retrievable in two clicks months later if a dispute comes up.

Does anything need to be installed at the agency?

No. Elaicar runs in the browser and on phones. There is nothing to install or maintain: you open a page, sign in, and your data is the same at the counter, at home and on the road.

Does it handle cash payments?

Yes. Payments and deposits are recorded whatever the method — cash, transfer, cheque or card — and each one stays attached to its rental file with a receipt.

How many vehicles can I manage?

The plans cover fleets from a handful of cars to several dozen. You can start small and add vehicles as you grow; current pricing is on the home page.
